# Locale and time zone preferences

> Choose how dates, numbers and times appear to you, and which formats your record company uses in statements, emails and files.

Qlero formats dates, numbers and times in two places. Your personal preferences decide how they appear to you in the app. Your record company's locale decides how they appear in what Qlero sends and generates, such as statements, emails and payment files.

## Set your personal preferences

Your preferences only apply to you, in every record company you have access to. They don't change what other users or payees see.

**1. Open your profile**

Open the user menu and select your name at the top. The **Profile** window opens on the **Preferences** tab.

**2. Choose a locale**

In **Locale**, search for a language or country. Each option shows a sample date and number, such as `22/11/2026 · 1,234,567.89`, so you can compare formats before you choose.

**3. Choose a time zone**

In **Time zone**, search for your time zone. **Time now** shows the current time in the selected zone.

**4. Save**

Select **Save**. Qlero refreshes the page with your new formats.

Both settings start on Auto:

* **Auto** locale uses your record company's locale, or your browser's language when the record company has none.
* **Auto (browser)** time zone uses your browser's time zone.

Your time zone also decides where a day starts and ends in date filters, so filtering on 1 October covers 1 October in your time zone.

## Set your record company's locale

> [!NOTE]
>
> You need write access to record company settings.

**1. Open the settings**

Open the user menu and select **Record Company Settings**.

**2. Choose the locale**

On **General**, check **Country**, then choose a **Locale**. **Auto (from country)** uses the selected country's formats, for example German (Austria) for Austria.

**3. Save**

Select **Save Changes**.

The record company locale changes these outputs:

| Output | What follows the locale |
| - | - |
| Statement PDFs | Amounts |
| Self-bill PDFs | Dates and amounts |
| Statement and payment emails | Balances, amounts and payment dates |
| CSV files | The decimal separator |

CSV files, such as payment files, period files and report exports, keep a fixed structure so they import the same way everywhere. They always use a semicolon (`;`) as the delimiter, ISO dates such as `2026-11-22`, and no thousands separator. Only the decimal separator follows the locale, for example `1234,56` for German (Germany).

## Choose a locale for a report

When you create a report, **Locale** uses your record company's locale by default. Choose another one when the recipient works with a different number format. You can't change a report's locale after you create it.

If a payee sees amounts in an unexpected format, check your record company's locale first, since it decides the formats in statements and emails.
