# White label: branding, email templates and custom domain

> Put your own look on Qlero, write the emails your payees receive, and send them from your own domain.

White label lets your payees see your record company rather than Qlero. It covers three things, each on its own tab under **Record Company Settings › White Label**:

* **Branding**: your logos, icon and theme colour in Qlero and in the Artist Portal.
* **Email Templates**: your own wording and layout for the invitation, statement and payment emails.
* **Custom Domain**: emails sent from your own address, such as `no-reply@mail.yourlabel.com`, instead of Qlero's.

> [!NOTE]
>
> White label is an add-on. To turn it on for your record company, contact Qlero at `support@qlero.io`. To change these settings, you also need write access to record company settings. See [User access and roles](https://docs.qlero.io/user-access-and-roles.md).

Without White label, **Branding** and **Custom Domain** are locked. **Email Templates** still lets you preview every email your payees receive, but **Edit template** and **Test email** are unavailable.

## Branding

Open **Record Company Settings › White Label › Branding**.

| Setting | Where it appears |
| - | - |
| **Platform Logo** | The top of the sidebar in Qlero and the top-left corner of the Artist Portal. Upload a **Default** version and a **Dark Mode** version. |
| **Platform Icon** | The collapsed sidebar in Qlero. Upload a **Default** and a **Dark Mode** version. |
| **Theme Color** | Buttons, links and highlights in Qlero and the Artist Portal, and the accent colour on statement PDFs. |

Logos and icons must be SVG files. Use a horizontal logo with a transparent background, and a square icon. The **Default** logo is the same one as the **Logo** on **General**, which also appears on statement PDFs.

Changes apply as soon as you save them, for your team and your payees.

## Email templates

Every email Qlero sends to your payees has a standard version. On **Record Company Settings › White Label › Email Templates**, you can replace it with your own.

Choose an email from the list. The list includes the payee invitations, the statement emails and the payment confirmations, each in the variants your payees can receive, such as **Below threshold** or **Self-billing auto**. Emails you've changed show a **Custom** badge.

> [!NOTE]
>
> The **Self-billing** statements and the **Payment confirmation** emails are only available when your record company uses Payments.

The page shows a preview of the email as your payees will see it, filled in with sample values.

### Edit an email

**1. Open the editor**

Select **Edit template**. The subject line and body become editable, with a toolbar above them.

**2. Change the wording and layout**

Edit the text directly. Use the toolbar for headings, lists, links and alignment, **Insert** to add a button, divider or columns, and **Variable** to add details that change per email, such as the payee's name or the statement period.

**3. Save**

Select **Save Changes**. The page returns to the preview, and the email gets the **Custom** badge.

Each email keeps its main button, such as the button that opens the invitation or the statement. You can change its text and colour, but not where it links to, so the link always works. Variables only offer the details that exist for that email. Add them from **Variable** rather than typing placeholders.

Select **Cancel** to leave the editor without saving.

### Send a test

Select **Test email** to send the email to your own address, filled in with sample values. You can send one test every 30 seconds. Tests appear under **Monitoring › Emails** like any other email.

### Go back to the standard email

On a customised email, select **Reset to default template** and confirm. Your version is deleted and payees get the standard email again. You can't undo this.

### When your changes reach payees

Your version is used for emails queued after you save. Emails that were already queued, such as a statement run in progress, keep the version they were queued with.

## Custom domain

By default, emails come from `no-reply@qlero.io`. With a custom domain, they come from your record company's name at your own domain, such as `Nova Records <no-reply@mail.yourlabel.com>`.

Open **Record Company Settings › White Label › Custom Domain**. The timeline at the top shows how far the setup has come: **Add Domain**, **DNS Configuration**, **Verify** and **Live**.

**1. Add your domain**

Select **Add domain** and enter the domain to send from. Use a subdomain such as `mail.yourlabel.com` rather than `yourlabel.com`, so the records Qlero needs don't affect the email you already send from your main domain.

**2. Add the DNS records**

Qlero lists the DNS records for your domain. Add each one at your domain provider, such as your registrar or DNS host. Use the copy button next to each **Name** and **Value** to avoid typing mistakes.

**3. Verify**

Select **Verify DNS records**. Qlero checks that the records are in place. This usually takes a few minutes, but can take up to 72 hours while DNS changes spread. The page keeps checking on its own, so you can leave it.

When the domain shows **Verified**, the timeline reaches **Live** and every email for your record company is sent from your domain.

| Status | What it means |
| - | - |
| **Not verified** | The domain is added, but the records haven't been checked yet. |
| **Verifying** | Qlero is checking the records. Each record shows its own status. |
| **Verified** | Emails are sent from your domain. |
| **Failed** | The records weren't found. Check them at your domain provider, then select **Verify DNS records** again. |
| **Records missing** | The domain was verified, but its records can no longer be found. Emails come from Qlero until you add them back and verify again. |

Emails never stop because of a domain problem. Until the domain is verified, or whenever its records go missing, they're sent from Qlero's address instead.

**If a domain can't be added.** Some domains are refused, for example one that's already used for sending email with the same email provider elsewhere. Try a subdomain such as `mail.yourlabel.com`, or contact `support@qlero.io`.

**Several record companies, one domain.** Record companies in the same organisation can use the same domain. The second one adds it without new DNS records and shares its status.

### Remove the domain

Open the **⋯** menu next to the domain and select **Remove domain**. If the domain is verified, confirm that you want to remove it. Emails come from Qlero again straight away. You can remove the DNS records at your domain provider afterwards.

## If White label is turned off

Nothing is deleted. While White label is off, Qlero uses its standard branding, emails and sender address. Your logos, theme colour, email templates and domain stay saved, and they're used again as soon as White label is turned back on.

## Next steps

* Choose where replies to your emails go in [Reply-to email address](https://docs.qlero.io/labels/getting-started/email-reply-to.md).
* Check that your emails reach payees in [Audit log and emails](https://docs.qlero.io/labels/monitoring/audit-log-and-emails.md).
