Choose the columns and headers in your statement CSVs to give payees the detail they need. Your record company’s Periods & Statements settings also include a preview of the standard statement PDFs.
Configuring statement output requires write access to RC Settings. If you don’t see Record Company Settings, ask your administrator. See User access and roles.

Configure the CSV columns

Start with the default layout and remove columns your payees don’t use. Keep the identifiers and currency fields they need to reconcile the figures. Sales and Costs have separate layouts. Each applies to both statement and suspense CSVs for that file type: columns tagged Statement appear only in statement CSVs, those tagged Suspense appear only in suspense CSVs, and untagged columns appear in both.
1

Open the design

Open Settings › Record Company Settings, click Periods & Statements, then CSV Design. Click Sales or Costs.
2

Choose and order the columns

Each numbered row is one output column. Click its dropdown to choose a field, or click + ADD COLUMN to add another. Use the trash icon to remove a column and the handle on its left to drag it into a new position.Choose a field for every row and keep at least one column. Each field can appear only once.
3

Set the headers

Enter a custom header in the text box beside a field. For example, rename Sale date to Sales date. Leave the box empty to use the default header. Renaming changes the heading, not the values in the column.
4

Save the layout

Switching to the other file type discards unsaved changes, so click Save Changes first. Reset to default design appears above the columns.
Rename the Sale date header, move it to the first column, and save the Sales CSV layout.

When the layout takes effect

The saved columns, order, and headers apply the next time Qlero generates period files for your record company. Save the layout before generating the period’s statement files. CSV design changes leave already generated files unchanged, even when you download them again. These settings don’t change the statement PDFs or royalty calculations. For an open period that already has files, see The period lifecycle for the available reprocessing actions. A closed period can’t be recalculated.

Restore the default CSV layout

Resetting deletes the saved column selection, order, and custom headers for the selected Sales or Costs layout. There’s no undo. Reset to default design appears once you’ve saved a custom layout. Click it, then confirm with Reset To Defaults. The default columns reappear. There’s no separate save step.

Preview the statement PDFs

In Settings › Record Company Settings › Periods & Statements, click Statement Preview, then Payee, Account, or Contract to see a sample PDF. Use Prev and Next to browse multi-page samples, or Download to save a copy. The preview uses sample statement figures and your record company’s details and logo from General settings. Use it to check how the standard PDF presents a statement before generating files for a period. Use Configurations to try different sample names, balances, and other values. Choose a statement type, fill in its required fields, and click Generate Preview. These values only change the preview. They aren’t saved as settings for your real statements.
