When some deals report monthly and others quarterly, you can keep a period of each type open at the same time. Each period calculates only the active contracts whose accounting period type matches its own.
Setting up contracts and accounts requires view and write access to Agreements; creating and calculating periods requires view and write access to Periods & Statements. If you don’t see Contracts, Periods, Create New, or Create New Period, ask your administrator. See User access and roles.
Multiple accounting period types are available on Pro and Enterprise plans. Contact support to enable them for your record company. Under Settings › General › Configurations, Accounting Period shows Multiple when they’re enabled.
Give each contract its reporting cycle
On a contract, Accounting Period Type sets how often the deal reports: Monthly, Quarterly, Half-Yearly, or Yearly. The field appears when multiple types are enabled.
All contracts on one account must use the same type. If one payee has monthly and quarterly deals, give those deals separate accounts under the same payee. You don’t need a second payee just because a deal reports less often.
For example, Nora Lane has two contracts:
Set the type on each contract and choose its Linked Payee Account. The account follows its contracts’ type; there isn’t a separate period-type setting on the account. See First-time setup for creating another account.
Keep one period of each type open
In Reporting › Periods, click Create New Period on the board. Choose Period type, then the year and interval. Only types without an active period are offered.
You can prepare 2026M9 for Nora’s monthly deal alongside 2026Q3 for her quarterly deal. To move on to 2026M10, finish and close the monthly period. A period stays active until it’s closed or deleted, including while it awaits calculation or has failed.
Choose sales files and costs for each period using How to create a Period. The calendar interval names the period. You select the income it reports.
Use the same sales file across cycles
A sales file can contain income for both monthly and quarterly contracts. Select that existing file in both periods. The monthly calculation reports the monthly contracts’ shares; the quarterly calculation reports the quarterly contracts’ shares. There’s no need to import the file again for the second cycle.
If a sales row has contracts of both types, it can remain Partially reported after the monthly calculation because its quarterly contracts still await reporting. That status alone doesn’t mean the calculation needs fixing. See Sales row statuses if a row also has invalid contracts.
Process periods one at a time
Qlero runs calculation, analytics, and statement file generation for one period at a time within a record company. Wait for that work to finish before processing another period. You can review one period while another is processing.
When periods share payees, finish corrections across those periods before approving their statements. Recalculating one period can invalidate the same payee’s statements in another open period. Recalculate those affected statements before approving them again.
Coordinate statements for shared payees
In the Advanced workflow, publishing 2026M9 can leave Nora’s monthly statement Verified: approved, but held until her quarterly statement in 2026Q3 is approved too. Qlero then releases both together.
A payee who appears only in the monthly period can have their statement released without waiting for the quarterly period. The wait follows the payee, so separate accounts don’t remove it.
The Simplified workflow releases statements when you close a period, subject to the same approval check for shared payees. See The period lifecycle for publication, notifications, and the consequences of closing.
