A statement records a payee’s, account’s, or contract’s royalty results and balance for a period. Qlero creates statements during period calculation; you don’t enter their amounts directly. Start with the payee statement, then look at its accounts and contracts when you need the breakdown.
Viewing and downloading statements requires view access to Periods & Statements. If you don’t see Statements, ask your administrator. See User access and roles.

Fields

Fields vary between payees, accounts, and contracts. Amounts use the payee’s reporting currency. Period. The reporting period the statement belongs to. Name. The payee, account, or contract. In the statements list, expand a payee to see its accounts and their contracts. Opening Balance. The balance carried into this period, including any opening balance entered when you started using Qlero. Shown as Opening in the list. Royalties. Earnings on a contract after its participation rates and terms are applied, including manual royalty transactions. Shown as Earnings in the list. Costs. Costs allocated to a contract. Positive costs reduce its balance; negative costs credit it. Payments. Payments recorded against the payee in this period, reducing its balance. Transactions. Manual adjustments entered on the payee, account, or contract. On contract statements, royalties and reserve movements have their own fields, and transfers from cross-contracts are included. Each transaction is listed by name under the statement summary and in the PDF. Reserves Withheld and Reserves Released. Royalties held back and previously held royalties returned to the contract’s balance. Transferred from Contracts and Transferred from Accounts. Balances received by an account or payee. Transferred to Account and Transferred to Payee show outgoing balances, always as a deduction: a contract that transfers 1,000 shows -1,000, and a contract that transfers a negative balance of -752.79 shows -752.79. Thresholds and cross-recoupment settings determine what transfers. Closing balance. The balance remaining at this level after the period’s activity and transfers. A contract can show royalties and a zero closing balance because its balance transferred to the account. Shown as Closing in the list. Total Royalties, Total Costs, and Total Units. Totals from the calculated sales and costs for the contracts covered by the statement. Manual transactions aren’t included.

Where each transaction appears

Every transaction in a period lands in exactly one place on a statement. Rows marked listed show each transaction by name; the others show a total. When a negative balance is transferred, the transferred amount still shows as a deduction, so the amounts above the closing balance don’t add up to it.

Contract statements

Cross-contract transfers are named after the other contract, for example Transfer from contract ‘Artist Deal’ or Subtracted by contract ‘Joint Recoupment’. Costs show only when your license includes costs, and the PDF shows reserves only when the contract has reserve movements in the period.

List columns and statuses

Other. Adjustments and reserve movements without their own list column. On payees and accounts, it also includes manual royalty transactions, since the Earnings column only covers contracts. Transfers: Contract, Account, Payee. List columns for movements between contracts, from contracts to accounts, and from accounts to payees. On a contract, the Contract column shows incoming and outgoing cross-contract transfers on separate lines. When a payee or account row is collapsed, a column shows the row’s own amount when it has one. Otherwise, grey italic amounts show the total of its hidden accounts and contracts. Opening and Closing always show the row’s own balance. Billing Type. A filter that shows only payees with the selected billing types, together with their accounts and contracts. It’s available when your record company uses payments, and it uses each payee’s current billing type. Status badges appear beside payees when your record company’s Period workflow is Advanced.
