A period moves from calculation to review, then to publication and closing. Use the review stages to resolve questions about the results. Close the period once you’re satisfied that the reporting is final.
Reviewing periods requires view access to Periods & Statements. Calculation and file generation require write access; publishing and closing require Publish / Close / Delete access. If you don’t see Periods or the action you need, ask your administrator. See User access and roles.
Two ways to finish a period
In Reporting › Periods, the board groups periods under Created, In Review, Published, and Closed. Your record company’s Period workflow determines whether publication and closing are separate:
Advanced. Publish statements first, then close the period when the reporting is final. You can publish selected payees before the rest.
Simplified. Closing publishes the statements and closes the period in one action. There isn’t a separate Published stage.
In Review: check the results and files
A Created period hasn’t been calculated yet. Process period starts calculation, with a choice to generate statement files in the same run. See How to create a Period for selecting its sales files and costs.
The board’s In Review column holds two review stages, plus analytics and file-generation work. Open the period to see its exact status:
In Calculation Review. Calculation is complete. Review the royalty totals on Overview and the balances on Statements. Unreported explains sales or costs held in suspense. Resolve anything you expect this period to report before moving on. When the results are ready, click Generate files on Overview and confirm Generate Files.
In Final Review. Statement PDF and CSV files are ready. Review the files as well as the balances before releasing them. If you chose calculation with file generation, the period reaches this stage without stopping for a separate file-generation action.
Generating Analytics and Generating Files are working stages, so wait for them to finish before expecting the next action. The Period glossary explains the other status labels.
Published: statements are approved for release
In the Advanced workflow, publish from In Final Review when the statements are ready for payees.
Publication makes released statements visible in the Artist Portal and triggers notification emails for each payee whose statements are released. There is no Unpublish action, and emails already sent can’t be recalled.
Publish the whole period. On Overview, click Publish period, then confirm Publish.
Publish selected payees. Use this when a few statements still need a conversation and the rest are ready. On the period’s Statements tab, select the payee rows and click Publish Statements in Options. Confirm Publish. Only selected statements that are In Review are approved; the period stays In Final Review while other statements await approval.
The period becomes Published once all its statements are approved. A payee’s statement can still show Verified if the same payee has statements awaiting approval in another open period. For example, approving Nora Lane’s monthly statement can leave it Verified while her quarterly period is still In Final Review. Once her quarterly statement is approved too, Qlero releases the statements together. See the Statement glossary for the individual badges.
Closed: reporting is final
Close an Advanced period after it reaches Published. With the Simplified workflow, close it from In Final Review.
If a correction is still needed, keep the period open. Reprocess in the period’s menu recalculates results for the whole period or selected payees. Changing the year, interval, included sales files, or costs through Edit period invalidates affected statements and returns the period to Created for calculation again. For a period already published, payees may have seen or downloaded the earlier statements.
A closed period can’t be reopened, recalculated, or deleted. In the Simplified workflow, closing also releases statements and triggers their notification emails, subject to the same approval checks for other open periods.
On Overview, click Close period, then confirm Close. The period moves to Closed. Its statements and downloads remain available.
