A cost records an expense, such as artwork or marketing, that Qlero allocates to recording contracts. A cost enters an accounting period only when you select it in that period’s inputs; each participating contract then carries the share its cost term sets, as a negative cost transaction on its balance. Publishing deals don’t use costs.
Viewing costs requires view access to Costs, and creating or changing a cost requires write access to Costs. If you don’t see Costs in the navigation or the Create New button, ask your administrator. See User access and roles.

Fields

Fields marked with Required must be provided when creating a new .
Name Required A recognisable name for the expense, such as Nora Lane artwork. Description. Optional detail about the expense. Amount Required The total expense before cost-term and participation percentages are applied. Enter a number greater than zero. Currency Required The currency of the amount, preselected to your record company’s reporting currency. When it differs from a participating payee’s reporting currency or the period’s currency, the period needs that exchange rate before you calculate. See Adding costs with a foreign exchange rate.
Choosing a different currency is available on Pro and Enterprise plans.
Cost Type Required The expense category, such as Artwork or Marketing. Together with Territory Group, it selects the rate in each contract’s cost term. Date. An optional date for when the expense occurred, shown for reference. The period inputs decide when the cost is processed, not this date. Invoice Number. An optional invoice or supplier reference. Territory Group. The market the expense applies to, Worldwide by default. A narrower group can select a different rate in the contract’s cost term. Assign cost to a… Required The contract, release, or track the cost belongs to. Assigned to a contract, the full cost goes to that contract at 100% participation. Assigned to a release or track, the cost is split between the contracts linked to it for costs, using each link’s participation rate. Assign most costs to the repertoire they belong to, and directly to a contract when the expense belongs to that deal regardless of repertoire. In both cases the contract’s cost term then decides the percentage it carries; see Creating and linking contract terms. Target Period. An optional year and accounting cycle label, such as 2026M9. It helps you filter the available costs while choosing period inputs but doesn’t add the cost to that period. Notes. Internal notes. Files. Supporting documents attached after the cost is created. They don’t change the amount or allocation. New Cost form showing the amount, type, date, territory, and assignment fields.

Status

The costs list shows how much of each cost has been processed. Reported Amount is the share of the original amount consumed by contracts that have processed it, and Available Amount is what remains. Once a cost is in a period, its Amount, Currency, and assignment are locked and the cost can’t be deleted. The name, type, territory, and notes stay editable.
