Changing cross accounting settings requires view and write access to Agreements. If the Cross-recoupable switch on a contract is disabled, ask your administrator. See User access and roles.
How balances move
When you calculate a period, Qlero works from contract to account to payee. At each level, the balance includes the opening balance and the period’s transactions before any transfer to the next level. A deficit can come from an unrecouped advance, costs, or negative royalties for returns and corrections. On a contract, Cross-recoupable lets a negative balance transfer to its linked account. The account’s existing balance and earnings from its other contracts can then cover the deficit. On an account, Cross-recoupable lets a negative balance transfer to its payee. The payee’s existing balance and transfers from its other accounts can then cover the deficit. When a deficit transfers, the contract or account it leaves closes at zero. The deficit is included in the next level’s balance. With the switch off, a negative balance stays where it is and carries forward. Switching it off on a profitable contract doesn’t protect that income from deficits already on its account. New contracts and the automatically created Default account start with Cross-recoupable on. Additional accounts start with it off.Share or separate contract deficits
Suppose Nora Lane Album Deal has a balance of EUR -600 and Nora Lane Singles Deal has EUR 1,000 before account transfers. Both belong to Nora Lane’s Default account. There are no thresholds, cross-contract rules, or other account or payee balances in this example. Changing only Album Deal’s Cross-recoupable setting gives these results:
With it on, the account receives both amounts: EUR 1,000 minus EUR 600 leaves EUR 400. With it off, Album Deal keeps its deficit to recoup from its own future earnings, and Singles Deal’s EUR 1,000 transfers in full.
Change the contract setting. Go to Agreements › Contracts, open Nora Lane Album Deal, and click Overview. Set Cross-recoupable and click Save Updates. The saved setting applies when you next calculate a period.
Saving doesn’t move balances immediately or return a deficit that has already transferred to the account.
Keep groups of deals separate
Use separate accounts when contracts should recoup together within each group, but one group’s deficit must stay separate from another group’s earnings. Keep Cross-recoupable on for the contracts in each group and off for the accounts. All contracts within an account must use the same Accounting Period Type. For example, Nora Lane’s Default account has EUR -600 and a separate Sync account has EUR 1,000 before payee transfers, with no thresholds or other payee balance or transactions. Turning Cross-recoupable off on both accounts keeps EUR -600 on Default account and transfers EUR 1,000 from Sync account to Nora Lane. With both switches on, both balances transfer and Nora Lane receives EUR 400.Creating additional accounts and changing account settings is available on Pro and Enterprise plans. On Lite, an account’s Overview shows an upgrade notice and its fields stay disabled.
How thresholds affect transfers
A Threshold is the minimum balance that can transfer to the next level. Set it on the contract to hold money there, or on the account to hold money before it reaches the payee. Enter a whole number of zero or more in the currency shown beside the field. With a threshold of EUR 100, a balance of EUR 80 stays and carries forward. A balance of EUR 100 or EUR 150 transfers in full, leaving zero at that level.Next steps
